Admin cum Sales Coordinator
Project: Convenience Account HCM
Location: District 1, HCMC - Ho Chi Minh; Ha Noi - Ho Chi Minh

MAIN RESPONSIBILITIES:

- Admin task  

  • Book flights  
  • Flight report for monthly payment  
  • Coordinate trip: flight, hotels, pick-up car 
  • Consolidate taxi reports  
  • Book flowers, gifts, etc. (on occasion) 
  • Receive, check & arrange documents to get signature & stamp (contract, PR, PO, etc.) following signature guidelines/ POA  
  • Arrange meeting rooms & facilities, logistic (fruit, tea-break cake, food, water, etc.) 
  • Coordinate with accounting/ tax department for payment  
  • Support receive & deliver goods/ letters/ invoice via 247/ DHL  
  • Manage and record fixed assets for team   
  • Prepare laptop, Ipad, monitor for newcomers 
  • Order fixed assets, computer accessories, etc. 
  • Coordinate with SCM to test & evaluate vendor 
  • Create Vendor code, update payment term & renew contract when expired 

- Business Suport/ Sales Coordinator  

  • Prepare LoA, Damex check, Proposal for BU 
  • Documentation management: organize shared folder for Dx team (Sales, marketing, application, service), including tender dossiers, specification, manuals, MSDS, licenses… 
  • Prepare and maintain sales documents: tender dossier, quotation, pricing calculation, SHOT inputs, LIS inputs  
  • Support BPs in connecting with Company teams (QT, BA, logistics…) 
  • Follow POs, LTAs, forecast of BPs 
  • Support on checking travel liquidation, Employee expense claim 
  • Prepare letters to customers (upon request) 
  • Raised SPODOM for sponsor and invite doctors/ KOLs to attend workshop/ training/ meeting in foreign countries  
  • Coordinate VIP/KOL visit / reference site visit  
  • Support in visit plan, flight booking, room reservation, visa, etc (Sales/Mkt activities) for internal meetings
  • Follow-up translation brochure/datasheet (work with vendor) 
  • Manage + order brochure/datasheet in HCM office + custom clearance 
  • Check schedule, arrange & join sales/marketing/BPs meetings, record MoM, follow up action plans from the meeting and push the owners for implementation 
  • Documenting papers 
  • Create training records and manage training participant lists and records (Product Training provided by RHQ BU)
  • Remind & collect monthly report, submit MMR 

 

 

REQUIREMENTS: 

  • Strong experience in Administration for at least 3 years
  • Fluent in English and has strong communication
  • Proactive, fast learner and well organized
