Receptionist cum Admin

MAIN RESPONSIBILITIES:

  • Handle all incoming calls in bilingual i.e. Vietnamese and English, from internal and external
  • Greet visitors with professionalism, assist them in contacting the staff member they want to meet
  • Receive incoming correspondence and fax, distribute to the designated secretaries and email to the recipient
  • Ensure that all outgoing mails related to work either be in a window envelope or have a typed sticky label for the address; call the Post Office agent or courier company to come for collection (with province and overseas letters);  Prepare record in details to submit to Finance monthly
  • When in meeting room, receptionists should ask the Caterer staff to offer drinks to visitor
  • Note all bookings and use of the office van in the van booking log; note date, time and the person booking the van as well as the purpose; put charge code to van record. (Must request staff to submit approval form for other outside rentals).  Prepare record in details to submit to Finance monthly
  • Maintain a clean and organized reception area
  • Ensure the display shelf is full of material
  • Receive all letters, packages, other correspondence and news e.g. magazine.., keep track these received items properly via a tracking sheet
  • Keep, maintain, distribute stationary as requested; maintain office supplies by checking stock, stocking items
  • To arrange transportation when necessary
  • Co-ordinate well with tea-lady, caterer staff, cleaner
  • Support on the event when required
  • Book travel tickets or hotel upon request sometimes and obtain signed approval form
  • Update Contact list monthly/ Do timesheet monthly
  • Provide reports, expense forms attached invoices monthly to Finance
  • Complete other tasks as assigned

 

 

 

REQUIREMENTS:

  • University/college graduate
  • Having more than 1 year-experience in receptionist/admin task
  • Good command of spoken and written English.
  • Good computer skills and communication skills
  • Be helpful and proactive
  • Must show a positive and pleasant image
